Overview
As a Personal Assistant, you will play a vital role in supporting the daily operations of an agency leader or financial consultant. This role involves managing administrative workflows, client communications, event coordination, and performance tracking. It requires strong attention to detail, the ability to handle sensitive information, and excellent organizational skills to ensure smooth and efficient support for business growth.

Key Responsibilities

Client Management

  • Schedule and manage client appointments, follow-ups, and enquiries.

  • Assist in preparing financial reports and relevant documentation for client meetings.

  • Maintain client records and ensure accurate filing of confidential data.

  • Liaise professionally with clients to ensure a high level of service and engagement.

Brand & Administrative Management

  • Prepare and manage performance tracking documents using Excel or relevant tools.

  • Draft and manage email correspondence and assist in presentation preparations.

  • Ensure consistent documentation standards across reports and communication materials.

  • Handle daily office administrative duties and provide general operational support.

Events & Vendor Coordination

  • Coordinate and liaise with external vendors and partners for events, collaborations, and meetings.

  • Assist in planning and supporting internal or client-facing events and engagements.

  • Track event-related timelines, materials, and logistics to ensure seamless execution.

Requirements

Mandatory:
  • Minimum Diploma or Degree in any field.

  • Proficiency in Microsoft Office (Excel, Word, PowerPoint).

  • Excellent verbal and written communication skills.

  • Strong organizational skills and the ability to manage multiple tasks effectively.

  • Ability to work independently and maintain confidentiality.

Preferred (Bonus):
  • Prior experience in financial services, executive assistance, or administrative roles.

  • Familiarity with CRM tools, digital filing systems, or workflow management platforms.

  • Interest in financial advisory or support-related work in the financial services sector.
